Policies

Who we are

The White Collar Fight Club Ltd (company number 11089282) runs free boxing and Muay Thai fight camps and charity fight nights in London. We are the data controller for the personal information described in this policy.

This policy explains what we collect, why, who we share it with, how long we keep it and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What we collect

When you sign up to fight

  • Your name, email address, mobile number and home postcode
  • Your choice of sport, how you want to train, which sessions you can make and which camp you want to join
  • Confirmation that you are 18 or over, and the name of anyone who referred you
  • How you found us (for example the advert or link you clicked)
  • Whether you want our fight camp prep series and news about future shows

When you join a fight camp

  • Your health questionnaire (PAR-Q) and waiver, including any medical conditions, injuries or pregnancy you tell us about
  • Your date of birth, weight and training experience, which we use to match you safely
  • Emergency contact details
  • Medical checks taken at sparring and on fight night, such as blood pressure readings and pre-fight and post-fight medicals
  • Attendance, ticket sales and fundraising progress
  • Your Fight Camp Deposit payment and refund details
  • Photographs and video of you training and fighting

When you buy a ticket

  • Your name, email address, the tickets or table you bought and the fighter you are supporting. Tickets are sold through Eventbrite, which shares these booking details with us. Eventbrite handles your payment, and we never see or store your card details.

When you message us

  • Your messages and contact details if you email us or message us on WhatsApp

When you use this website

  • Basic technical information that our hosting provider records to keep the site running and secure, such as your IP address and browser type. How you use the website, such as the pages you visit and the buttons you tap, collected by our analytics provider. If you accept analytics cookies and then sign up, we link that activity to your email address so we can see what helped you decide. See our cookie policy.

Health information is special category data. We only collect it with your explicit consent, because we cannot let anyone train, spar or fight safely without it. If you do not want to give it, we will not be able to offer you a place in camp.

Who we share it with

We never sell your personal information. We share it only with:

  • Service providers who run things for us, under contracts that require them to protect it: website hosting (Cloudflare), website analytics (PostHog, data stored in the EU, and Google Analytics), advert measurement (Meta, only if you accept cookies), email and newsletters (Klaviyo), email, documents and spreadsheets (Google Workspace), ticketing (Eventbrite), payments (Stripe), forms (Typeform) and WhatsApp messaging
  • Medical professionals and insurers, where needed to keep you safe or to handle a claim
  • Our coaches, so they can run your sessions and match you safely
  • Our charity partner CALM, if you fundraise for them, so they can support your fundraising. CALM handles your details under its own privacy statement.
  • Partners and sponsors, only if you have specifically agreed to hear from them
  • Authorities, where the law requires us to

International transfers

Some of our service providers store data outside the UK. When they do, we make sure it is protected by UK adequacy regulations or by approved contract terms such as the International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.

Your rights

You have the right to:

  • Ask for a copy of the information we hold about you
  • Ask us to correct anything that is wrong or incomplete
  • Ask us to delete your information, unless we need to keep it for legal reasons
  • Ask us to restrict or stop using your information, or object to how we use it
  • Ask for your information in a format you can take elsewhere
  • Withdraw your consent at any time, including for marketing and health information. This does not affect anything we did before you withdrew it.

Email info@thewhitecollarfightclub.co.uk to use any of these rights. We may ask for proof of identity, and we will respond within one month. It is free in most cases.

To stop marketing emails, click unsubscribe in any email we send.

Age

Our camps and fights are for people aged 18 and over. Under-18s can attend fight nights with an adult, but we do not knowingly collect personal information from anyone under 18. Tickets must be bought by an adult.

Automated decisions

We do not make decisions about you using automated processing or profiling. Every match is made by our coaches.

Complaints

If you are unhappy with how we have handled your information, please tell us first at info@thewhitecollarfightclub.co.uk. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

We review this policy regularly. The date at the top shows when it was last updated.
